Invite Technicians and Set Roles
Add your repair shop staff in RagoxCell, assign the right role, turn on two-factor authentication, and handle day-to-day account changes like disabling a member or resetting a password.
Your team is the engine of your repair shop, and RagoxCell lets you bring everyone on board with the right level of access. This guide walks through adding staff, choosing the correct role, securing accounts with two-factor authentication, and handling routine changes like disabling someone who left or resetting a forgotten password.
Understand the four roles before you start
RagoxCell uses role-based access control (RBAC), so every action a person can take is tied to their role. Decide who needs what before you add anyone:
- Owner — full control of the shop, including billing, subscription, integrations, staff management, and every operational area. There is typically one owner per shop. This is the account that created the shop.
- Admin — manages day-to-day operations and staff: orders, customers, inventory, invoices and payments, reports, and team management. Admins can add and disable staff and reset passwords. Use this for managers and trusted leads.
- Reception — front-counter work: intake new orders, manage customers, take payments, and update order status. Reception keeps the workflow moving without touching shop-wide settings.
- Technician — focused on repairs. Technicians work the orders assigned to them, update status, log work notes and checklists, and manage their part usage. Technicians do not see shop revenue or financial reports, so you can hand out bench accounts without exposing your numbers.
A practical rule: give each person the lowest role that still lets them do their job. You can always change it later.
Open the Team page
From the dashboard sidebar, go to Team. You will see everyone currently in your shop, their role, whether their account is active, and how many orders are assigned to each technician. This single page is where you add, edit, disable, and re-enable staff.
If you do not see the Team page, your role does not include team management. Ask your shop owner or an admin to make the change for you.
Add a technician or other staff member
On the Team page, choose to add a new member, then fill in:
- Name — how the person appears on orders, work logs, and assignment menus.
- Email — used for sign-in and account recovery. Use a real, working address.
- Role — pick from owner, admin, reception, or technician based on the guidance above.
- Password (optional) — you can set a starting password here so the person can sign in right away, or leave it blank and send them a reset later.
Save, and the member appears in the list immediately. Once they sign in, they only see the areas their role allows. Assigned technicians show up in the technician selector on each order, so you can route repairs to the right person from the start.
Assign or change a role
Roles are not permanent. To change someone's access, find them on the Team page and edit their profile. Switch the role and save; the new permissions apply the next time they load a page.
Common adjustments:
- Promote a reliable reception lead to admin when they start covering manager duties.
- Move a bench tech to technician so they can be assigned orders but stay out of financials.
- Keep owner reserved for the business owner; it carries billing and integration access that most staff never need.
Enable two-factor authentication (2FA)
Two-factor authentication adds a second step at sign-in, so a stolen password alone cannot open an account. RagoxCell supports app-based 2FA using any standard authenticator (Google Authenticator, Authy, 1Password, and similar).
To turn it on for your own account:
- Go to Settings and open the two-factor section.
- Confirm your password to start enrollment.
- Scan the QR code with your authenticator app.
- Save your backup codes somewhere safe. These let you sign in if you lose your phone.
- Enter the six-digit code from the app to confirm and finish.
From then on, sign-in asks for the rotating code after your password. Encourage every owner and admin to enable 2FA, since those accounts have the most access. To turn it off later, return to the same Settings section.
Disable a member who has left
When someone leaves or no longer needs access, disable their account instead of deleting it. Disabling keeps their history intact, the orders they worked, notes they wrote, and assignments, while immediately blocking them from signing in.
On the Team page, find the person and choose to disable them, then confirm. A disabled member is blocked from every action right away and is removed from the technician assignment menu, so no new work routes to them. Their name still appears on past orders for an accurate record. If they return, re-enable the same account in one click and they pick up where they left off.
Reset a password
You have two ways to handle a forgotten or compromised password.
Admin reset from the panel. On the Team page, select the member and set a new password directly. This works even if the person never received a setup email, and it marks their account ready to use. Share the new password securely and ask them to change it after signing in.
Self-service email reset. A staff member can use the "Forgot password?" link on the sign-in page. RagoxCell emails them a secure reset link that expires after one hour. This is the better option when the person can access their own inbox.
Keep access tidy
A few habits keep your shop secure as the team changes:
- Review the Team page periodically and disable accounts that are no longer used.
- Reserve admin and owner roles for the few people who truly need them.
- Require 2FA on owner and admin accounts.
- Reset, rather than reuse, any password you suspect has been shared too widely.
